Sharing files
Turn any drive file into a download link with an optional expiry and download cap — and revoke it whenever you like.
Sometimes a file needs to reach someone outside your team: a press photo to a journalist, a stage plan to the AV company. Share links turn any file in your drive into a download URL — no Bookitive login needed on the other end — with limits you control.
Creating a share link
Pick a file → Create link. Set, optionally:
- Expires — a date after which the link stops working. Right for a photo embargo or a time-limited handover.
- Max downloads — a cap on how many times the file can be pulled ("3 of 10 downloads" on the link once it's live). Right for "this is for the printer, not the world".
Copy the link and send it however you like. The file list shows each link's download count, its expiry, and whether it's been revoked.
Revoking
Revoke a link to cut it off immediately — the URL stops working for everyone, even people who had it. Sharing is reversible: share now, revoke when the job's done.
Behaviour and edge cases
- The link points at the file, not a copy — so the recipient always gets the current version, and deleting the file breaks the link.
- Downloads are delivered efficiently — directly from storage (via a CDN where configured), so even large files are fast and don't tie up the app.
- Sharing is its own permission (
files.share), separate from viewing — so you decide who on the team can hand files to outsiders.
Share links are for sending a file out. To receive files from people outside the team, use Collect instead — it's purpose-built for inbound uploads with a form and caps.
