Sponsor book

The organization-wide roster of companies — contact details, donation history, tags, VIP flag, and the gave/refused/silent success-rate scoreboard.

Not verified yet

The sponsor book (Sponsors → Sponsor book) is every company your organization has ever approached, in one durable list. It's the institutional memory that means a new organizer doesn't start from a blank page each year.

A sponsor record

  • Company, contact person, email, website.
  • Tags — your own labels (local, restaurant, returning), up to ten; the book filters by them.
  • VIP — a flag for the relationships worth special handling.
  • Contact type — Established relationship or Cold (no prior relationship). This matters at send time: cold contacts can only be emailed one by one, never in bulk — see Sending & compliance.
  • Notes — free text for context.

Donation history

Each sponsor carries a donation history: what they gave, to which event, in which year, and the outcome. Record past support (even from before Bookitive) so the AI writer and your team both know the relationship's shape — "thanks again for the wine last year" writes itself.

The success-rate scoreboard

The book's signature column is the three-way outcome for each sponsor:

  • gave — they came through,
  • refused — they declined,
  • never answered — silence.

Shown as a rate ("60 % success — 3 of 5 approached events") with the last success noted. At a glance you see who's a reliable yes, who's a polite no, and who's worth one more try — far better targeting than emailing the same list cold every year.

Finding the right sponsors

Search by company, contact, or email, and filter by:

  • VIP,
  • Never donated / Donated last year / Donated to this event / Donated at event… (pick one),
  • tags.

"Everyone who gave to last year's ball but hasn't been asked this year" is a two-filter query — and the selection flows straight into a campaign or an event's deals.
